In our modern world it seems we are a generation obsessed with information and communication. There is no lack of either. New forms of communication appear on a regular basis. It doesn’t seem that long ago that emails were invented (more about this later in the article). Now the virtual world is becoming reality with the birth of advanced mobile technology and even virtual real estate. Rss feeds, blogging, instant messaging, social networking sites and more have become part of the lifestyle.

Information overload has been described as an excessive amount of information being provided or just bewildering amounts of information.

New information technology, new ideas, new courses/programs – it isn’t going to stop. Do you have a library of unread ebooks? Anyone who has not experienced this has had their head in the sand or taken a way to use O.P.T. (read on). Is this a symptom of our high-tech age? Unrealistic expectations by your work or yourself? Is information controlling your life? The old adage, paralysis by analysis comes to mind. It comes down to who’s the master – you or the information? Is information controlling your life?

What’s important to you? Information Overload needs to be managed by You – it will help if you know where you’re going.

Lets tackle emails. In December 2007 the New York Times described email as a 650 billion dollar drag on the US economy. In April 2008 the same paper reported “email has become the bane of sane peoples professional lives due to information overload”. Some top firms have found that emails can waste an hour or more per day. Organisations are floundering. In one business I worked in, a Manager was away from the office for the afternoon and returned to over 100 emails. In another firm one Manager sends on all corporate round robin emails to all his team again!

What to do:- Take charge of your emails not vice-versa. Teach and train employees to use emails- a KEY AREA to make your organisation more efficient. I know people are fed up with policies but get one done on email efficiency and make sure it’s practical and works. If you are a small business or a one man band – Don’t read emails until the afternoon. Do your most important work in the morning. It has been found emails will take you off on a tangent and also disrupt your concentration levels. Plan your day – take control. Be focussed. Tell people I don’t answer emails immediately and certainly not in the morning. USE O.P.T. (other peoples time). Outsource or employ someone. By the way this article has not been outsourced. Use your time for what it’s really worth. There is a story about a billionaire at a wealth event – in the speakers lounge a cell phone rang and was answered by another speaker. When he had finished the Billionaire spoke to him and said “you don’t make enough money, if you did you wouldn’t have to answer your own phone!”. If you do everything yourself you’ll fail. There lies the difference between the rich and the not so rich.

What do you need to do to free up and use your time more efficiently?

Make a list of what you need to accomplish each day. Ask yourself – will this action bring in more money/accomplish my most important task? Be focussed and disciplined and take action. Do the important not the mundane energy sapping go nowhere activities. Restructure your day to accomplish goals. Do the most difficult task in the day first. Ask yourself – is this information necessary to accomplish my goals? Trash it or set it aside for another day, better still get someone else to precis it for you in a two page document if it fits in with your plans. Get someone to do the research for you or instruct the other firm to send a brief report of their products benefits for you and your business then you will consider it.

You get the drift I’m sure. Take control of information overload!
